Problem Description

Our company has a monthly accounting general ledge reconciliation work. There are hundreds of records from two systems do not match. The accountant needs to manually extract those records from one system, which has more than 20,000 records, group them by operation unit, and sum by account numbers. The processed results need to be stored in different worksheet by operation unit ID.

Every month, our accountant needs to spend at least one full day the compete this boring, labor intensive task. Since the task is done manually, the processed results is not very dependable and sometimes needs to be re-done several times.

Problem Solution

Developed a Excel template file with a data sheet and a setup sheet. In the data sheet, accountant just pastes the accounting records into it every month. On the set up sheet,  accountant only needs fill operation unit ID and its associated account numbers. By click a button, the program, (template) automatically create new sheets for each operation unit, and extract records (using database SQL) from the data sheet based on the criteria - operation unit ID and account numbers, and provide sum calculation for each sheet (operation unit).

Results

By using the program (template) , the accountant's is simplified and significantly reduced. He/she only needs to copy the original data and paste into the data sheet, fill the setup sheet, click the button. The program then takes care of everything else in minutes. and the processed results are reliable.

This improved the work productivity by at least 95%.

 Then I found your XLDS Excel add-in on the internet, and BAM, that was the end of that problem.

 Now I can just dump Excel entry forms into a particular folder, and strip the entry form data right out of them, and I don’t even have to worry about the file names.
